This paper presents a functional prototype-based digital framework for smart campus administrative automation by integrating budget approval, QR-based gate verification, and voucher and claim reimbursement workflows into a unified platform. Administrative processes in academic institutions are often fragmented, paper-based, and dependent on repetitive manual approvals, resulting in operational delays, limited trace-ability, and weak interdepartmental coordination. The proposed framework addresses these limitations by integrating financial approval, gate-level authorization, and reimbursement processing within a single digital ecosystem. The functional prototype was implemented using a web-based architecture, with React.js for the user interface, Flask for backend services, and Firebase for authentication and real-time data synchronization. The framework provides role-based access control for departmental workflow segregation and QR-based verification for secure gate-level validation. Prototype validation in a controlled institutional environment showed measurable gains in workflow respon-siveness, administrative traceability, and operational efficiency. Experimental evaluation indicated a 70% reduction in approval latency, near-instant gate verification, and complete elimination of paper-based documentation across the evaluated workflow. The proposed framework provides a scalable and practical foundation for digitally coordinated campus administration.

This paper presented a functional prototype-based digital framework for smart campus administrative automation by integrating budget approval, QR-based gate verification, and reimbursement workflows into a unified institutional platform. The proposed framework addressed the limitations of frag-mented paper-based administration through centralized work-flow coordination, secure digital validation, and end-to-end process traceability. Evaluation of the functional prototype showed quantifiable gains in administrative coordination, checkpoint verification effectiveness, and approval responsiveness. The system created a scalable basis for digitally coordinated administrative gover-nance, decreased reliance on manual processes, and enhanced institutional visibility. Large-scale database refinement and advanced deployment optimization are still being developed, despite the functional prototype’s successful validation of key workflow capabili-ties. Predictive workflow analytics, mobile platform support, production-scale database optimization, and interaction with larger institutional ERP systems will be the main areas of future research. The suggested structure offers a workable and expandable basis for smart campus administration in the future.
