Educational institutions handle a significant amount of both academic and administrative functions, including admissions, attendance tracking, examination management, student performance evaluation, fee collection, and communication with various stakeholders. It has pages for administrators, teachers, students and parents. It keeps data safe. It is on the cloud so it can be used anywhere. This system makes work easier reduces paper use and helps make decisions. This paper introduces an AI-Driven Academic ERP System designed to consolidate institutional operations within a unified, intelligent digital framework. The proposed solution integrates Enterprise Resource Planning (ERP) principles with Artificial Intelligence (AI) technologies to streamline workflows, enhance decision-making, and provide predictive analytics. It is designed to improve coordination between different departments by maintaining centralized and organized institutional records. The system comprises modules for managing students, faculty, monitoring attendance, processing examinations, facilitating communication, and utilizing AI-driven analytics. Machine learning techniques are employed to analyze attendance trends, academic records, and institutional data to forecast student performance and identify students at academic risk. The system offers role-specific dashboards for administrators, faculty members, students, and parents, while maintaining security through authentication and encrypted data management. Deploying in the cloud and featuring a scalable architecture improves both accessibility and reliability. This proposed ERP solution enhances operational efficiency, minimizes paperwork, increases transparency, and promotes data-informed educational management.
KEYWORDS
The AI-driven Academic ERP presented in this work offers a cohesive platform for handling the administrative needs of educational institutions. By fusing traditional ERP capabilities with intelligent automation, the system simplifies everyday workflows—student records, faculty profiles, attendance, exam processing, and communication are all managed more consistently and with less manual effort. Embedded analytics further strengthen the platform by revealing attendance patterns and academic trends, enabling timely, data-informed decisions to support student outcomes. Built on web and cloud technologies, the solution emphasizes accessibility, security, and scalability so it can serve schools, colleges, and universities of varying sizes. Its modular design allows institutions to adopt features incrementally and tailor the system to their operational realities. Planned extensions aim to broaden the system’s reach and increase its practical value: · Mobile application integration for on-the-go access and notifications. · An AI-powered conversational assistant to handle routine queries and lighten administrative load. · Facial recognition for faster, tamper-resistant attendance capture. · Blockchain-based verification to secure and streamline credential authentication. · Enhanced analytics and interactive dashboards for deeper insight into academic and operational performance. · Interoperability with national or regional educational databases to ease reporting and compliance. These enhancements will boost usability, trust, and analytical capability, helping institutions modernize administrative processes and allocate more resources to teaching and learning. Future work will focus on prototyping these features, evaluating their real-world impact through pilot deployments, and addressing ethical, privacy, and regulatory concerns that arise with biometric, blockchain, and AI components.
